The workflow

A customer writes naturally

The conversation begins in WhatsApp or Instagram with a question, booking request, or request to change an appointment.

ReplySlot uses approved knowledge

The assistant answers from the services, policies, business hours, and FAQs configured by the business.

Availability is calculated

Service duration, buffers, lead time, opening hours, and existing appointments determine which times can be offered.

The booking is rechecked

Availability is validated again before confirmation. When Google Calendar is connected, free/busy information can be part of that check.

Exceptions go to the team

Sensitive, low-confidence, or exceptional requests can pause automation and enter a review queue with their context intact.

The assistant works inside boundaries you configure.

Each workspace controls the knowledge, tone, services, availability, booking rules, and automation state. Team members can review conversations, take over, and inspect an audit trail.

What teams should qualify before relying on the workflow.

Staff and resources

Independent staff calendars and simultaneous resource capacity are not part of the current documented scheduling model.

Existing booking systems

Direct integrations with Fresha, Booksy, Vagaro, Square, Boulevard, and Mangomint are not currently established.

Sensitive decisions

Clinical advice, emergencies, diagnoses, pricing exceptions, and similar decisions belong with qualified people.

These boundaries are stated plainly so a business can validate fit before making operational changes.
